How to Size a Party Tent
Rental companies quote from square feet per guest by seating style, then add functional areas:
- Seated dinner (round tables): 12 sq ft per guest. Banquet rows squeeze to 10; seated + buffet flow prefers 13–14.
- Ceremony rows: 8 sq ft. Standing cocktail: 6 sq ft.
- Add the extras: dance floor (~4.5 sq ft × half your guests), buffets (+100 each), bars (+150 each), band stage (+200).
- Round up to a stock size — tents come in fixed widths (10/20/30/40 ft) and lengths in 10–15 ft jumps.
Tent formulas
Base = guests × (12 seated / 8 rows / 6 standing)
Total = base + dance floor + 100×buffets + 150×bars + stage
Worked example — 100 seated guests, dance floor, 2 buffets, 1 bar, DJ: 1,200 + 225 + 200 + 150 + 50 = 1,825 sq ft → a 40 × 60 tent (2,400) with comfortable margin, or a tight 30 × 60.

Tips Before You Book
- Book 4–8 weeks out in wedding season — popular sizes sell out locally.
- Pole vs. frame: pole tents need grass and stakes and have center poles inside; frame tents are clear-span and work on pavement, for more money.
- Call 811 before staking — tent stakes go 30″+ into ground that may hold gas and utility lines.
- Sidewalls, lighting, and flooring are add-ons — budget the tent at the quoted rate plus 30–50% for the package that actually makes it usable at night.
- Rain plan beats rain hope: a size up shelters the whole party if weather pushes everything under canvas.
