How to Calculate Party Drinks
Bartenders and caterers all start from the same rule of thumb:
- Two drinks per guest for the first hour, one per hour after. A 4-hour party = 5 drinks per drinking adult.
- Split by bar style. Full bar: 40% beer / 30% wine / 30% spirits. Beer & wine only: 60/40.
- Convert to bottles. Wine pours 5 glasses per bottle; spirits make 16 drinks per 750 ml; beer is one serving per can or bottle.
- Don't forget ice — 1–1.5 lb per guest, more outdoors in summer.
Drink formulas
Total drinks = guests × (hours + 1) × crowd factor
Wine bottles = wine drinks ÷ 5 · Spirit bottles = spirit drinks ÷ 16
Worked example — 50 guests, 4 hours, full bar: 50 × 5 = 250 drinks → 100 beers, 15 bottles of wine, 5 bottles of spirits, and ~8 bags of ice.

Tips Before You Shop
- Buy where unopened returns are allowed — most large liquor stores take back sealed bottles, which turns over-buying into a free safety margin.
- Chill in stages. Only ice what fits the first hour; restock coolers as the party runs. Warm backup beats watery abandonment.
- Mixers: one liter per three cocktail drinkers, plus soda and water for everyone — non-drinkers included (about one soft drink per guest per hour).
- One bartender per 50 guests keeps lines short at a full bar; self-serve beer and wine flows fine without staff.
- Plan safe rides. Budget for the end of the night the same way you budget the bar.
